Jenkins, Wilson, Taylor & Hunt, P.A. (JWTH) seeks a Docket Administrator with 2+ years of experience in IP docketing.

  • Administrative management of intellectual property docket both for US and foreign patent and trademark matters
  • Monitor docket though software docketing system and double check dates and entries
  • Enter all due dates and reminder dates as appropriate into docket databases.  Annotate all entries as appropriate
  • Update all information in docket databases on a daily basis as indicated by attorney or as indicated from client correspondence
  • Perform periodic audits of docket
  • Appropriate review of approximately 100-200 emails per day, including docketing of new actions, closure of completed actions, routing to appropriate attorneys/staff, entering descriptive remarks for case updates or correspondence to/from clients and foreign counsel, and triage/prioritization to ensure all actions are docketed in a timely manner based on urgency
  • Review of incoming patent and trademark office documents, including docketing new deadlines, entry of new information and calculation of deadlines, review for data accuracy and update/flag of discrepancies for attorneys, and checking to ensure all incoming documentation matches most recent filings in government data
  • Review all outgoing mail to clients and foreign agents along with electronic filing receipts issued by the USPTO; add or remove docket entries from the database accordingly.
  • Prepare regular and custom reports for attorneys and staff
  • Review daily docket entries; follow up with the paralegal/attorney regarding deadlines and reminders as needed; regenerate reoccurring docket reminders
  • Enter and audit incoming transfers in docketing database
  • Train other professionals on docketing system and procedures
  • Perform additional duties as requested by the Senior Docket Administrator

Relevant Qualifications:

  • May require an Associate’s Degree in area of specialty and 2-5+ years of experience in the field or in a related area
  • 2-3 years of experience with computerized docket databases preferred
  • Strong knowledge and proficiency in foreign docketing procedures and practices
  • Knowledge of Microsoft Office Suite (Excel, Outlook, PowerPoint, and Word)
  • Familiarity with federal, state, and local Intellectual Property laws and regulations
  • Strong organizational skills
  • Ability to work under tight deadlines and prioritize responsibilities
  • Ability to handle and maintain confidential information
  • Patent experience required
  • Trademark knowledge preferred
  • Shows excellent written, verbal, and people skills with the ability to “own problems” and resolve issues
